Position Summary

The Executive Assistant will provide high-level administrative support to the President & General Manager of the Vascular Business Unit. The successful Executive Assistant will assist in the management of Vascular communications, executive calendar management, email management, functional meeting and event planning, and travel arrangements both domestic and international. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Principal Responsibilities

• You will showcase your world-class relationship skills as you interact with both internal and external stakeholders and exercise your aptitude for strategy as a trusted advisor and administrator to the President & General Manager, Vascular.

• Own calendaring, scheduling, basic correspondence, functional event planning, organizing multi-site meetings and staff meetings, including meeting minutes and preparation of materials.

• Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of organizational objectives.

• Email management, communication through writing and editing emails, drafting documents and preparing communications on behalf of the Corporate Vice President & President, Global Commercial, the President of the Americas.

• Maintain action items for leadership team meetings, ensure deadlines are met and maintain comprehensive and accurate records, documents, and reports.

• Act as a liaison between leadership and their direct reports to share information, instructions, and assignments; and follow up on status of assignments to leadership team members or other stakeholders

• Manage domestic and foreign travel arrangements, prepare itineraries, prepare and compile travel vouchers, and maintain all travel records.

• Handle basic administrative tasks such as invoices, expense reports, and PTO approvals on behalf of the President & General Manager, Vascular.

• Create/process documents, spreadsheets and reports by collecting and analyzing information maintaining confidentiality at all times.

Education / Experience Requirements

• Bachelor’s degree preferred.

• 5+ years of related experience required in an executive assistant role.

• Administrative certification such as PACE or CAP preferred.

Specialized Skills / Other Requirements

• Excellent communication skills (interpersonal, verbal, and written).

• Ability to understand the importance of and maintain highly confidential information.

• Expert knowledge of Microsoft Office and Adobe Acrobat with an emphasis on Excel, Outlook and PowerPoint.

• Ability to maintain composure during stressful situations.

• Ability to efficiently handle multiple tasks requiring a high degree of attention to detail.

• Ability to perform duties with initiative and exercise sound judgment.

• Ability to recognize problems, make recommendations and in some cases, independently resolve and implement solutions.

TRAVEL REQUIRED: Minimal travel required. No more than 10%.
